Invite members and control access
A profile can exist without an active app account. Member Management connects prepared player and staff records to users and determines what each person can access.
What you will achieve:
Choose the correct invitation route
Understand pending approval versus direct profile linking
Assign a role, team scope, and permission template
)
1. Understand the member lifecycle
Added, not invited: A member profile exists, but no invitation has been sent.
Invited, not registered: An invitation was sent, but the recipient has not completed registration.
Active: The account is registered and linked.
Active without permissions: The user can sign in but may not be able to use the required features.
)
2. Choose an invitation route
Open Member management > Members and choose the route that matches your situation.
General club link
Use Invite club members to share one registration link. People who register through it appear under Pending approvals. An administrator then confirms their identity, role, team, and permissions.
Personal invitation link
Open an existing member's menu and select Invite members via link. This link connects the recipient directly to that prepared profile and approves the registration automatically. Send it only to the intended person.
Invitation email
Open the member's menu and select Send invitation email. After confirmation, the recipient receives a registration link by email. You can also send invitations during the batch-add workflow.
)
3. Assign roles and permissions
Open the member's row menu.
Select Manage roles & permissions.
Click Add role & permission.
Select the person's role.
Choose Club-wide or a specific team.
Select a permission template.
Save and verify the result under Permissions.
A role describes what the person does. The team scope determines where it applies. The permission template determines which features the user can view or change.
Important: Club administrators automatically have all permissions across the entire club. Use the administrator switch only for trusted users who truly need unrestricted access.
)
4. Use a restricted custom template when needed
Open Permission templates to review the system defaults. If a default grants more access than required, duplicate it or create a custom template and configure each feature with No access, View only, Create only, Full access, or View (own data only) where supported.
How this connects
Invitations connect user accounts to existing profiles. Permissions affect what those users can see in the Calendar, sessions, gamedays, Knowledge Base, performance areas, administration, and other club features.
You are finished when:
The intended invitation route is prepared or sent.
The member has the correct role and team scope.
The Permissions tab shows an appropriate template.
